Executive Administrative Assistant

Law firm seeks an Executive Administrative Assistant with 5 years of experience supporting an executive in a law firm or similar environment. This position will support the Chief Financial Officer and will be responsible for scheduling meetings; following up on executive, administrative, and operational duties; and review daily schedule and upcoming commitments, deadlines and responsibilities. Candidate will coordinate and circulate financial information to partners as scheduled; work with the finance leadership team to ensure efficiency of departmental functioning; draft, distribute, and maintain contracts for all attorneys; and work closely with all attorneys to prepare and submit annual applications for practice related insurance policies and LLP registrations. Other responsibilities include compiling and submitting reports, applications, payments, distributions, and surveys for malpractice and other insurance, benefits, retirement plans, partner income, banking, investment, and other professional services. The hours are 9:00 a.m. to 5:30 p.m.
The Executive Administrative Assistant must have outstanding written and verbal communication skills to interact with all levels of firm management and staff. Candidate must prioritize tasks and remain flexible to meet deadlines. The Executive Assistant must be discreet and display outstanding interpersonal skills. A high level of accuracy and attention to detail are essential.
