Position: Litigation Secretary
Location: San Francisco, CA (Hybrid, 3 days onsite)
Pay: $86,000 to $100,000 annually
Experience: 7+ years of experience as a litigation secretary to support assigned attorneys and paralegals with complex clerical duties.
Type: Full-time; Direct Hire
Schedule: Day Shift, 8:30am to 5:30pm
Kent Daniels & Associates is seeking a Litigation Secretary to join our dynamic law firm client!
Job Description:
- Create pleadings for eFiling.
- Prepare and process complex legal documents and correspondence/memoranda using word processing software according to practice group. Compose and draft routine cover letters and documents. Proofread and check for appropriate formatting, spelling, and grammar. Prepare revisions and redline documents.
- Process Mail: review and route incoming mail/fax communications. Prepare/process outgoing mail/faxes, arrange for specialized messenger services ensuring that all attachments, exhibits and enclosures are included.
- Maintain and update calendars for assigned attorneys, including meetings, appointments, due dates, and client-related activities.
- Maintains paper and electronic files in compliance with internal policies. Performs routine filing. Maintain chronological and administrative files for assigned attorneys.
- Timekeeping: Prepare time entries for assigned attorneys and submit in a timely manner. Prepare expense reimbursement/disbursement requests. Prepare billing letters and coordinate client billing matters with the Billing Department.
- General Administrative Support: Prepare and process new matter documents. Receive/screen phone calls and take messages. Receive/direct clients and visitors. Coordinate travel arrangements and prepare itineraries/expense reports. Schedule meetings and arrange for conference rooms/meals. Provide administrative support during complex client meetings; (take notes; ensuring smooth meeting transition) and working collaboratively with others in a team-oriented environment. May also provide back-up to receptionist.
Position Requirements:
- Strong computer proficiency with Microsoft Office (Word, Outlook, Excel), document management, time entry, eFiling and database software; knowledge of legal terminology and processes, accurate typing of 70+ wpm.
- Excellent communication and organization skills and proofreading abilities including correct grammar, spelling and punctuation; must have excellent time management skills and be able to work independently as well as with a team.
- Communicate effectively and professionally with clients and with others in the Firm. Is proactive in anticipating the business needs of the assigned attorneys; plans ahead and meets deadlines.
