Job Description
Position: Office Services/Project Coordinator
Location: Century City, CA (Onsite)
Experience: Minimum of five (5) years of experience to closely interact with attorneys, paralegals, secretaries, and firm support staff, coordinating onsite office services and hospitality activities, as well as trial coordination.
Type: Full-time; Direct Hire
Schedule: M-F 9am-6pm (Flexibility with work overtime as needed, 1 hour lunch)
Pay: $60-80k/yr depending on experience
Kent Daniels & Associates is seeking an Office Services/Project Coordinator to join our dynamic law firm client.
Job Description:
- Directing and coordinating the preparation of documents/exhibits for reference during trials, mediations, arbitrations, and depositions.
- Identifying and planning for changing office needs, including acquiring additional peripheral equipment, managing new office setups/workstations, processing incoming mail/packages, legal documents, and correspondence.
- Directing imaging services, such as overseeing litigation copy jobs and scanning needs, assembling binders, and managing/indexing offsite files and records are part of the duties.
- Managing and maintaining office, kitchen, copy room, and conference room supplies, as well as audio/visual and technical equipment, including troubleshooting printers and connecting Zoom meetings.
- Other duties encompass working with outside vendors to arrange offsite trial needs and filing services while maintaining communication with building and security services.
- Oversee two employees, including a receptionist and an office clerk.
Job Requirements:
- Working knowledge of MS Office (Word, Excel, Outlook), including redlining, is necessary.
- Familiarity with Adobe, iManage, ProLaw, or similar software is preferred.
- Any records management is desired.
- Must be capable of working in a fast-paced environment, anticipating the firm’s needs.
- Must possess strong interpersonal skills, along with a can-do attitude.
