Legal Billing Coordinator

Law firm seeks a Billing Coordinator with 3 years of previous accounting experience, including eBilling. The Legal Billing Clerk will prepare client bills and provide assistance to attorneys, legal administrative assistants, and clients in billing matters. The Billing Coordinator will review bill requests for accuracy, ensuring all appropriate approvals have been obtained; identify matters with escrow or unapplied cash balances, and coordinate with the billing attorney and the Cash Group for application to outstanding balances; identify inconsistencies or errors on bill requests and contact the respective billing attorney to resolve any issues; and work with billing attorneys to identify special billing requirements for clients.
The Legal Biller will verify accuracy of timekeeper billing rates; process final client bills; and process all draft bill edits. Candidate will process time entry corrections in accounting system and upon completion of edits, redistribute revised draft bill requests to responsible attorneys; coordinate and process requested bill reversals; ensure detailed explanations for billing exceptions have been provided and are in compliance with firm guidelines. The Legal Billing Coordinator will follow up with attorneys to ensure bills are received and processed in accordance with monthly billing deadlines; maintain monthly bill log in order to follow-up on billing status and report delinquent billing to Firm Management; respond to inquiries from firm attorneys and legal administrative assistants relating to billing policies, procedures and processes; assist firm personnel with questions regarding accounts receivable, WIP balances and other billing questions. The Billing Coordinator will communicate with clients to answering questions, providing data, and maximizing billing efficiency; provide ad-hoc reporting and account analysis; process monthly eBilling for assigned matters ensuring that all timekeepers are approved, specific eBilling guidelines are in place, task plans are utilized and communicated to timekeepers. The Biller will coordinate the resolution of eBill rejections, file monthly bills and backup in accordance with procedures, and assist other billing staff with processing of bill requests as needed. The hours are 9:00 a.m. to 5:00 p.m. for a 37.5 hour work week. This is a non-exempt position.
The Biller must have the ability to review, interpret and implement client billing guidelines, possess strong mathematical and data entry skills, and demonstrate a strong attention to detail. Candidate must have strong communication skills, and the ability to interact with individuals and candidates at all levels. A strong working knowledge of Microsoft Word, Excel and Outlook functions, a thorough understanding of bill processing including the electronic billing processes, creation of LEDES files, and using third party eBilling submission systems is required. Legal billing experience with Aderant or Elite is preferred. A college degree or equivalent work experience is required.
