Job Description
Position: A/P & Billing Specialist
Location: West Los Angeles, CA
Pay: $45,000 to $65,000 annually
Experience: 2+ years of experience with accounts payable and billing in a law firm to work as part of the accounting team and manage/process invoices ensuring timely payments to vendor, maintain accurate financial records, and provide overflow client billing support.
Education: High school diploma or equivalent required; an associate’s or bachelor’s degree in accounting, finance, or a related field is preferred.
Type: Full-time; Direct Hire
Schedule: Monday - Friday, 9:00am to 5:30pm (7.5-hour day)
Kent Daniels & Associates is seeking an A/P & Billing Specialist to join our dynamic law firm client!
Job Description:
- Review and verify invoices for accuracy, appropriate documentation, and proper approvals; enter invoices into the accounting system for payment processing; reconcile discrepancies between invoices and purchase orders or contracts.
- Prepare and process electronic transfers, checks, and other forms of payment; ensure timely and accurate payment of all vendor invoices and maintain records of all payments made; track and monitor client payments, assist in posting payments, and work A/R to follow up on unpaid invoices.
- Communicate with vendors to resolve billing issues and answer payment-related inquiries; maintain positive relationships with vendors and ensure timely resolution of any disputes.
- Maintain accurate and up-to-date records of A/P transactions and preparation of financial A/P reports to ensure accuracy and compliance.
- Assist with month-end and year-end closing processes; provide support for internal and external audits related to A/P.
- Prepare, generate, and distribute client invoices on a regular billing cycle, ensuring accuracy and compliance with client guidelines and firm procedures.
- Collaborate with attorneys and legal staff to ensure accurate recording of billable time, review time entries for errors or omissions, and follow up.
- Process write-offs, adjustments, and discounts according to firm policies.
- Obtain necessary approvals for any billing changes.
Position Requirements:
- Familiarity with legal billing software (Coyote, Elite, Juris) is a plus.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Strong attention to detail, excellent organizational and communication skills, and a thorough understanding of accounting principles.
