Position: Manager of Administrative Services

Location: Hybrid; Los Angeles

Experience: 5 years of relevant experience to handle day-to-day oversight of Legal Assistants and other support staff; Candidates with a legal secretarial background prior to human resources responsibilities are preferred

Education: A bachelor’s degree is required

Type: Direct Hire

Schedule: 9:00 a.m. to 5:30 p.m.

Pay: $140,000 - $170,000 annually

Kent Daniels & Associates is seeking a Manager of Administrative Services to join a growing and dynamic team! You must have experience working in a mid-size or larger law firm in order to qualify for this position.

Job Description:
  • Recruitment; onboarding and orientation scheduling and preparation of legal assistants and support staff
  • Facilitate staff development by providing coaching, counsel, continued training and supervision; manage staffing levels and coordinate workflow of Assistants, Word Processors, Paralegals, Records, Office Services and Court Services departments
  • Monitor and approve scheduled absences and vacation requests and approve timecards in Rollcall
  • Manage the annual performance evaluation process with input from supervisors
  • Determine compensation and bonuses
  • Diplomatically resolve employee grievances and take disciplinary actions as needed
  • Approve administrative staff expense reimbursements
  • Additional duties include collaboration with counterparts across offices firm-wide for consistent application of policies and strategic implementation of firm goals and setting up training and events at the direction of the Firm Administrator and CHRO

Position Requirements:
  • Knowledge of state and federal leaves, wage and hour laws, and benefits is essential
  • Ability to train incoming support staff with an overview understanding of word processing, records, reception, office services and paper and eFiling
  • Strong MS Office skills (Word, Excel and Outlook) and a document management system (iManage or similar) is needed
  • Chrome River, ViDesktop and Rollcall are helpful
  • Must have proven project management, communication, interpersonal and organizational skills
