Job Description
Location: Century City, CA (Hybrid, 4 days onsite)
Pay: $110,000 to $130,000 annually
Experience: 5+ years experience (law firm strongly preferred) to be responsible for planning, executing, and supporting policies and procedures relating to all phases of human resources activities.
Education: Bachelor’s degree is required. A PHR/SPHR or CLM certification a plus.
Type: Full-time; Direct Hire
Schedule: Day Shift, 9am to 5:30pm (able to work overtime as needed; occasional travel to OC and SF offices)
Kent Daniels & Associates is seeking a Human Resources Generalist to join our dynamic law firm client!
Job Description:
- Staff full recruitment cycle, managing employee orientations/onboarding, partnering with hiring managers to identify staffing needs/develop job descriptions, building/maintaining relationships with recruitment agencies and managing job boards.
- Ensure all secretarial and administrative support positions are staffed on a daily basis and regulate office workflow while allocating overflow and coordinating team projects.
- Act as first point of contact for employee queries/concerns.
- Field and respond to inquiries regarding Firm policy and procedures.
- Foster a positive work environment through effective communication and conflict resolution; implement/oversee employee engagement initiatives and activities.
- Monitor/track employee performance providing feedback and coaching as necessary.
- Identify training/development needs and facilitate appropriate programs.
- Coordinate the annual performance evaluation program and goal setting for attorneys and professional/support staff.
- Assist Office Administrator with recommendations for annual salary increases and bonuses for support staff in conjunction with approved budget.
- Conduct regular salary reviews/benchmarking exercises.
- Coordinate local office benefits administration including communication and distribution of related forms.
- Manage new hire and maintenance of HR records (personnel files, information forms, job performance evaluations, changes in pay status, Personnel Action Notices, credit card requests, I-9 forms, FTE/inactive personnel files, temporary staff log, and termination checklist).
- Manage employee timecards, monitor leave requests, vacation schedules, sick leave, vacation and other absences.
- Assist in the coordination of special projects including the annual Staff Appreciation event and Fall/Summer office events.
- Coordinate office participation of volunteer programs and health screening events/flu shots in LA/SF/OC offices.
- Handle sensitive employee relations issues with discretion and professionalism.
- Investigate work-related accidents including preparing first report of injury paperwork and submitting and tracking Worker’s Comp claim.
- Updating/maintaining HR documentation; ensuring HR policies comply with all applicable laws/regulations including coordinating compliance with federal and state regulations pertaining to ADA, EEO, FMLA, OSHA and FLSA.
- Maintaining current knowledge of applicable laws, rulings and regulations and recommends appropriate changes in office practices.
- Other duties include managing employee leaves of absence (LOAs) including providing guidance to employees on eligibility, completing and submitting FMLA and STD forms to Firmwide and the State of California, ensuring compliance with state laws like Paid Family Leave (PFL) and California Family Rights Act (CFRA).
- Maintaining accurate records related to leave usage, and staying updated on any regulatory changes; and conducting regular audits to ensure compliance with labor laws and internal policies.
Position Requirements:
- Proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Excellent communications skills with the ability to establish working relationships with all levels of the organization and external clients and vendors is required.
- Must have strong understanding of FMLA, CFRA, Workers' Compensation and applicable state and federal employment and labor laws.
