Job Description
Position: Legal Administrative Assistant
Location: San Francisco, CA (Hybrid, 3 days onsite)
Pay: $80,000 to $110,000 annually
Experience: 3+ years' experience supporting partner level attorneys, preferably on the transactional side but also open to litigation.
Type: Full-time; Direct Hire
Schedule: Day Shift, 9:00am to 5:30pm
Kent Daniels & Associates is seeking a Legal Administrative Assistant to join our dynamic law firm client!
Job Description:
- Prioritizing assignments and preparing often sensitive and detailed correspondence.
- Professionally answering, screening and placing calls; recording and communicating messages according to appropriate procedures.
- Effectively obtaining familiarity with routine office procedures and forms in order to respond appropriately to detailed inquiries.
- Interacting professionally with members of other departments and varied external contacts.
- Scheduling appointments, making travel/meeting arrangements, and maintaining business calendars.
- Effectively establishing and maintaining well organized files, while managing the integrity of original client documents.
- Coordinating with billing attorneys on all monthly pre-bills and necessary revisions; preparing bills for mailing, maintaining billing records and entering attorney time.
- Maintaining confidentiality, assuring work product is accurate and presented professionally and making efforts to foster a positive rapport with all internal and external contacts.
Position Requirements:
- Advanced use of Microsoft Office (Word, Outlook) including redlining, comparing documents, advanced formatting, TOA and TOC creation and manipulation, and embedded hyperlinks.
- Intermediate to advanced level skills to use other programs (Adobe, Best Authority, eFiling, DocuSign, PDF Essentials, various ERoom platforms, DropBox).
- Proficiency in the use of document management systems (iManage/WorkSite/FileSite preferred).
- Ability to efficiently proofread and edit, reports and tables for typographical errors and sentence structure.
- Knowledge of eFiling in all court systems is a preference.
- High level of communication skills requiring social sensitivity and willingness to gain extensive knowledge of department procedures in order to communicate effectively with staff, management, attorneys, and clients.
- Ability to follow and convey instructions effectively with a high degree of courtesy and tact.
