Position: Litigation/Administrative Secretary
Location: Downtown Los Angeles, CA (Hybrid, 3 days onsite M, W, Th)
Pay: $85,400 to $100,000 annually
Experience: 5 years’ experience to be responsible for providing expert support to attorneys and professionals for all administrative and litigation/transactional functions of the Administrative Department.
Type: Full-time; Direct Hire
Schedule: Monday - Friday, 9:00 am to 6:00 pm
Kent Daniels & Associates is seeking a Litigation/Administrative Secretary to join our dynamic law firm client!
Job Description:
- Provide mentorship to Practice Assistants regarding firm administrative procedures.
- Collaborate with Administrative Managers to develop trainings.
- Provide supplemental support to professionals, attorneys, and managers; act as a resource regarding all types of administrative support.
- Engage with attorney service companies relating to delivering litigation materials to courts and counsel, including service of process documents and subpoenas.
- Communicate directly with court/administrative offices to confirm rules and procedures.
- Review basic documents to ensure compliance with applicable rules.
- Assist/deliver litigation training programs for attorneys, paralegals, secretaries, and other users of Administrative Department resources.
- Proofread and prepare documents for final drafts; complete redlining accurately.
- Copy, scan, fax, upload and email documents.
- Send, track and manage document projects in conjunction with Word Processing Center and outside vendors.
- Arrange couriers, shipments and track status and delivery.
- Interact and liaison with attorneys and staff regarding support needs, current projects and additional support.
- Process expense reports; coordinate payment of invoices, charge vendor invoices to client/matter.
- Arrange for meeting rooms, confirm additional resources and set up, and coordinate guest needs.
- Complete client intake forms.
- Calculate and complete time entry, research and assign task codes, confirm time entry in accordance with client guidelines and makes corrections/submits final time.
- Coordinate with Travel Department, confirm reservations and any changes.
Position Requirements:
- Proficiency with online litigation platforms (CM/ECF and third-party vendors), Electronic Fax Program, Microsoft Office (Word, Excel, PowerPoint, Outlook), Adobe Acrobat Suite, Litera Compare, Best Authority, DocXtools/DocXtools Advanced.
- Knowledge of PACER, Court Alert and other electronic court databases is a plus.
- Thorough knowledge of litigation procedures and ability to research rules and procedures.
- Thorough knowledge of litigation procedures.
- Strong organizational skills with the ability to manage multiple tasks and priorities effectively.
- High level of attention to detail and commitment to producing high-quality work.
- Ability to research rules and procedures.
- Ability to work independently in a fast-paced environment with consistent high level of accuracy with strong analytical and problem-solving skills.
- Ability to organize and prioritize multiple assignments, using judgment and initiative to accomplish results.
- Produce accurate work while meeting time-sensitive deadlines.
- Strong communication, interpersonal skills, teamwork, attention to detail and customer service skills.
- Ability to interact effectively and professionally with all levels of management, staff and a variety of external entities.
