Job Description
Position: Litigation Secretary
Location: Downtown Los Angeles, California (Hybrid, 3 days onsite including Tuesday)
Pay: $85,000 to $96,000 annually
Experience: 10+ years experience to support four attorneys and paralegals with complex and specialized secretarial support and working collaboratively with others in a team-oriented environment.
Type: Full-time; Direct Hire
Schedule: Monday – Friday, 9:00am to 5:30pm
Kent Daniels & Associates is seeking a Litigation Secretary to join our dynamic law firm client!
Job Description:
- Supports multiple attorneys as primary assignments and provides back-up assistance to other attorneys.
- Prepare complex legal documents and correspondence using word processing and document management software according to requirements set by each practice group.
- Compose, draft, and proofread routine cover letters and documents to ensure appropriate formatting, spelling and grammar.
- Prepare revisions and redlines documents as directed.
- Prepare documents for court filing/eFiling with state and federal courts.
- Review and route incoming mail and fax communications; and process outgoing mail/faxes including arranging for specialized mail or messenger services ensuring all attachments, exhibits and enclosures are included.
- Maintain and update calendars for assigned attorneys, including meetings, appointments, due dates, and client-related activities and maintain/retrieve paper and electronic files (chronological files/administrative records) in compliance with internal policies.
- Prepare attorney time entry and submit in a timely manner.
- Prepare expense reimbursement and disbursement requests.
- Prepare billing letters and coordinate client invoicing with the Billing Department.
- General administrative support included preparing/processing new matter documents, receiving/screening calls and taking messages, directing clients/visitors, coordinating travel and preparing itineraries and expense reports, scheduling meetings/arranging conference rooms and catering.
- Conduct client communication and able to proactively anticipate business needs of assigned attorneys to meet deadlines, and taking notes during client meetings.
Position Requirements:
- Must have knowledge of legal terminology, legal documents/processes with excellent proofreading abilities.
- Type 60+ wpm, be proficient in MS Office and with eFiling.
- Experience with document management and time entry systems commonly used in law firm is needed.
- Understanding of correct grammar, spelling and punctuation and superior organizational skills are required.
