Position: Litigation Secretary
Location: Downtown Los Angeles, CA (Hybrid, 3 days onsite after first 90 days fully onsite)
Pay: $80,000 to $105,000 annually
Experience: 3+ years of experience to support 2 attorneys, a partner, a Senior counsel, and a few associates with specialized and secretarial/administrative duties and ensuring client service and satisfaction is attained.
Education: High school diploma or equivalent required. College degree and prior law firm experience preferred.
Type: Full-time; Direct Hire
Schedule: Monday - Friday, 8:30am to 5:00pm (must have flexibility to work overtime is needed)
Kent Daniels & Associates is seeking a Litigation Secretary to join our dynamic law firm client!
Job Description:
- Administrative support including managing attorney inboxes, updating calendars/contacts, utilizing Foundation, reviewing, and routing mail, and managing client matter files/folders; monitors and determines action items and appropriate distribution for incoming eFiles received from outside sources (faxes, client documents, court filings).
- Manage client electronic/hardcopy files for each client matter and ensure hardcopy files are barcoded/labeled at inception of and throughout the life of each client matter.
- Store all electronic files in the appropriate client matter folders and ensure timely closing of files.
- File/eFile in state and federal courts.
- Coordinate with assigned attorneys to ensure client/matter electronic materials (emails, documents) are stored in iManage. Communicate directly with assigned attorneys to file electronic material.
- Provide administrative support to assigned attorneys to manage eFiles (managing attorney Inbox, moving emails from Outlook folders to iManage, separating attachments, and filing in appropriate files).
- Create, proofread and edit letters and complex legal documents from various electronic versions, handwritten drafts, rough notes or tape dictation; draft transmittal letters and standard memoranda; review/proofread outgoing materials; perform document cleanup for external documents applying document styles in accordance with firm standards.
- Arranges client conference calls; keeps coverage group current of attorney's schedules/daily calendar.
Position Requirements:
- Proficiency in Microsoft Office and PDF required with accurate word processing skills, document management, file management, spreadsheets, calendaring, and time management.
- Familiarity with legal terminology and procedures, ability to generate a large volume of work, and strict attention to detail.
- Proficiency in iManage preferred.
- Fundamental accounting aptitude, proficiency with accounting software and experience in interpreting and analyzing client accounting reports preferred.
- Excellent communication skills. Spelling, punctuation, and use of grammar must be of high quality.
- Must be capable of making sound decisions in the absence of clear instructions and be multiple-task oriented.
- Ability to maintain flexibility regarding work assignments, patience, diplomacy, ability to prioritize workload, and adapt to changing conditions.
- Visual acuity is needed for transcription, extensive reading and input (typing) of information into computer.
- Ability to receive and convey detailed information through oral communication.
- Essential competency processes include language ability, reasoning and memory.
- Maintain a leadership role in team and firm related projects and activities; assists with lawyer committee work, community service projects and other public relations activities.
