Position: Litigation Secretary
Location: Newport Beach, CA (Hybrid, 4 days onsite)
Pay: $82,000 to $124,000 annually
Experience: 4+ years to support attorneys and paralegals with administrative responsibilities to meet Firm and client needs.
Education: Bachelor’s Degree is preferred.
Type: Full-time; Direct Hire
Schedule: Day Shift, 9:00am to 5:30pm (37.5 work week)
Kent Daniels & Associates is seeking a Litigation Secretary to join our dynamic law firm client!
Job Description:
- Create, format, edit, proofread, and manage Word documents, Excel spreadsheets, and PowerPoint presentations.
- Draft routine correspondence, forms, and documents under the supervision of a lawyer/professional.
- Answer telephone and routine questions from clients and staff members and route calls.
- Schedule domestic and foreign travel through firm travel system including logistics.
- Track, organize, and process reimbursements, invoices, and check requests.
- Run conflict checks, open new client matters, and draft engagement letters and required documents; provide guidance to lawyers so completed forms are submitted properly.
- Open, prioritize and distribute mail; coordinate mailings, deliveries, copying and courthouse filings.
- Enter and manage work requests from lawyers in the workflow tool and complete according to provided deadlines.
- Perform routine filing, photocopying, scanning, compiling, and distributing of documents.
- Identify/coordinate available services provided by administrative departments such as office services, the IT Help Desk, word processing, accounting, billing, and records.
- Operate independently to ensure assignments are completed in an accurate and timely manner.
- Produces a high volume of work assignments in an accurate and timely manner.
- Perform clerical duties for non-legal departments.
Position Requirements:
- Advanced knowledge of Microsoft Office (Word, Outlook, Excel), Adobe, and experience with document management system is required.
- Must be proficient in all legal administrative assistant functions and have advanced technical and communications skills.
- Strong work ethic and ability to work in a fast-paced environment with demonstrated ability to coordinate multiple competing projects.
- Must have an outstanding attention to detail, grammar, and punctuation with the ability to maintain confidentiality and thrive in a fast-paced environment.
