Position: Litigation Secretary
Location: San Diego, CA
Pay: $85,000/yr to $90,000/yr (depending on the experience)
Experience: 3+ years of experience to support three attorneys with court filing, office support and administrative assistance
Education: N/A
Type: Full-time; Direct Hire
Schedule: Monday – Friday, 8:30am-5pm or 9am-5:30pm (7.5 hour/day)
Kent Daniels & Associates is seeking a Litigation Secretary to join our dynamic law firm client!
Job Description:
- Preparing draft court documents, specifically complaints, answers, discovery, briefs, motions, motions for summary judgment, correspondence and memos
- Preparing for trials
- Organizing and maintaining documents, and case files
- Performing a broad range of administrative, document production, organizational, research and client support duties
- Mailing, faxing, or arranging for delivery of legal correspondence to clients, witnesses, and court officials
- Coordinate with various Firm administrative departments to efficiently complete client and non-client related projects
- Extensive calendar management and scheduling of meetings, conference calls, travel arrangements and events
- Assisting with time entry and billing
- Be the onsite representative for vendors and assist with office operations
- Preparing engagement letters, submitting new clients/matters to Conflicts and New Business Intakes
- Managing and tracking expense reimbursements
Position Requirements:
- Familiarity with state and federal court filings/eFilings
- Advanced knowledge of Microsoft Office, iManage and various legal software applications; heavy knowledge of Word, plus strong Outlook knowledge
- Writes clearly and informatively, edits work for spelling and grammar, varies writing style to meet needs, able to read and interpret written information
- Must be skilled at typing correspondence and pleadings for attorneys
- Must be extremely detail oriented, organized and have great follow through skills
- Must be able to coordinate complex scheduling for multiple individuals
- Must have the ability to prioritize, work well under pressure, and multitask to meet deadlines and be able to identify and resolve problems in a timely manner
- Accuracy, and professionalism a must
- Strong proofreading skills and have excellent spelling/grammar skills
- Possess strong initiative, a high degree of flexibility, works independently and who is self-motivated
- Has the ability to use diplomacy and maintain strict confidentiality
- Excellent communication and interpersonal skills
- Ability to keep the office running efficiently, so attorneys can focus on supporting clients so a can-do attitude and willing to assist with phones, kitchen upkeep, or anything necessary is required
