Job Description
Position: Litigation Secretary
Location: San Diego, CA (4 days onsite)
Pay: $30 to $37 hourly
Experience: 4+ years of experience to support four attorneys and paralegals with complex and specialized secretarial and clerical support and working collaboratively with others in a team-oriented environment.
Type: Full-time; Temporary
Schedule: Monday - Friday, 8:30am to 4:30pm or 9:00am to 5:00pm
Kent Daniels & Associates is seeking a Litigation Secretary to join our dynamic law firm client!
Job Description:
- Prepare documents using word processing and document management software to process correspondence and memoranda, as well as complex legal documents, according to the requirements set by each practice group.
- Independently compose and draft routine cover letters and documents.
- Proofread documents and check for appropriate formatting, spelling, and grammar.
- Prepare revisions and redlines documents as directed.
- Prepare documents for eFiling.
- Maintain responsibility for an increased scope of document preparation.
- Review and route incoming mail and fax communications.
- Prepare and process outgoing mail and faxes, arranging for specialized mail or messenger services as required.
- Ensure that all attachments, exhibits, and enclosures are included.
- Maintain and update calendars for assigned attorneys (meetings, appointments, due dates, and client-related activities).
- Maintain paper and electronic files in compliance with internal policies.
- Perform routine filing and retrieve files.
- Maintain chronological files and administrative files for assigned attorneys.
- Prepare time entries for assigned attorneys and submit in a timely manner.
- Prepare expense reimbursement and disbursement requests.
- Prepare billing letters and coordinate client billing matters with the Billing Department.
- Prepare and process new matter documents. Receive and screen phone calls, taking messages as required. Receive and direct clients and visitors.
- Coordinate travel arrangements, prepare itineraries, and prepare travel expense reports.
- Schedule meetings and arrange for conference rooms and meals.
- Communicate effectively and professionally with clients and with others within the firm.
- Proactive in anticipating the business needs of the assigned attorneys; plans ahead and meets deadlines.
- Provide administrative support during complex client meetings, taking notes, and ensuring smooth meeting transitions.
Position Requirements:
- Strong proficiency in MS Office (Word, Outlook, Excel), document management, time entry, eFiling, and database software.
- Knowledge of legal terminology, legal documents/processes.
- Excellent communication skills with superior organizational skills, including filing, calendaring, and proofreading.
- Time management skills and the ability to work independently as well as with a team are required.
