Law firm seeks a Legal Secretary with 7 years of experience to support litigation and transactional attorneys, including a founding partner. Candidate will redline documents; prepare Table of Contents (TOC) and Table of Authorities (TOA); create shells; prepare initial pleading drafts and informational binders; maintain and update iManage pleading and discovery clips; court filing including eFiling; manage exhibits; coordinate court reporting and attorney services, videographers, and process servers; monitor judge preferences and local rules; manage attorney and court calendar and schedule; pull cases from Westlaw and Court docket; prepare trial binders and coordinate trial needs.
Transactional duties include utilizing Westlaw and EDGAR to pull public documents and regulatory filings; preparing client documents (8-K, consents) and coordinating Notary; maintaining data room; assembling and uploading documents; gathering signature pages and preparing closing binders; creating initial drafts and proofreading PowerPoint presentations. Secretary will also monitor client news and competitive intelligence with assistance from Librarian.
Additional duties include new matter set up; transcription; time, expense and billing; scheduling and preparing for meetings, tracking RSVPs, and handling conference room, A/V and catering setup; indexing files for offsite storage; and general clerical duties.
Hours are 9:00 a.m. to 5:30 p.m.
Position is hybrid
A high school diploma is required; college degree or legal secretary certificate is advantageous. Must be proficient in Microsoft Office (Word, Excel, PowerPoint and Outlook), Adobe Acrobat; and familiar with various software including conference room and resource scheduling, time entry/billing, and expense reporting. Candidate will have excellent analytical and organizational skills with ability to interact with all levels of staff. Candidates with appellate experience and working knowledge of time tracking/billing applications is preferred.
