Large law firm seeks an Office Administrator with 5 years of law firm administration and management experience. Selected candidate will manage day-to-day operations of the firm (100 employees at this location) and specifically oversee administration, billing, budgeting, IT, facilities, and human resources. The Administrator will manage recruitment, onboarding, orientation, training, and employee relations; management of secretarial and support staff ensuring staffing levels, coordinating time off, and handling evaluations; and involvement in the compensation process for both attorneys and staff. Additional responsibilities include partnering with facilities department on office renovations, moves, and maintenance; overseeing mail room and supply operations; and supporting the marketing department with local events. The hours are 9:00 a.m. to 5:30 p.m.
The Office Administrator will have a bachelor’s degree; an advanced degree is highly preferred. Candidate must have basic finance and accounting knowledge, and proficiency in MS Office. Candidates with NetDocs and Aderant billing or similar programs are highly preferred. This position requires regular travel to the Orange County branch office. Qualified candidate will be highly polished and professional, with outstanding interpersonal skills to interact with C-suite executives ensuring the smooth operation of the firm. Outstanding written and verbal communication skills, project management abilities, and knowledge of labor and employment laws and best practices are required.
