Job Description
Position: Office Administrator
Location: Downtown Los Angeles, CA (4 days onsite, including Friday)
Pay: $90,000 to $110,000 annually
Experience: 3+ years experience managing a small to mid-sized law firm to oversee branch office daily operations and accounting functions.
Education: Bachelor’s degree in business administration, legal studies, or related field preferred.
Type: Full-time; Direct Hire
Schedule: Monday – Friday, 9:00am to 5:30pm
Kent Daniels & Associates is seeking an Office Administrator to join our dynamic law firm client!
Job Description:
- Day to day law firm management and managing local office accounting functions including all financial reporting, billing, A/P and A/R, general ledger and banking/reconciliations, and annual budgeting.
- Managing local office recruitment, onboarding, performance/workflow management, and development for secretaries, paralegals, and support staff; serving as a liaison for staff and firm leadership.
- Acting as facilities point-of-contact (supplies inventory, building management, office cleanliness/maintenance, emergency preparedness).
- Direct HR and compliance training/posting with Federal, State, or local laws, regulations, and Firm policies.
- Keep leadership team informed of local issues, consult, and ensure resolutions implemented, and actions taken.
- Develop and recommend annual capital and operating budgets, manage/monitor and approve local expenses, and prepare monthly expense/budget reporting.
- Process all invoices and vendor billing, ensure proper accounting, approval, and payment.
- Responsible for management/quality assurance of client billing, monitoring flow of proformas and invoicing. Monitor attorney time entries and submission of staff hours.
- Supervision of file intake and upkeep procedures.
- Manage Firm accounts including charges to Firm AmEx account and Financial Manager, maintain reconciliations of accounts and ensure proper and timely charges to clients.
- Trust accounting – depositing checks, requests and follow up on application of unallocated funds.
- Planning and implementing social events (holiday party, birthdays, Staff Appreciation week).
Position Requirements:
- Advanced knowledge of Microsoft Office (Outlook, Word, Excel) functions and commonly-used law firm accounting programs is needed, Elite or 3E and Chrome River preferred.
- Knowledge of document management systems (iManage, Intapp, INetime preferred).
- Must have professional demeanor with positive and confident attitude.
- Ability to prioritize and multi-task.
- Must be customer service driven with excellent communication skills and the ability to lead local office staff.
