Position: Office Manager
Location: San Francisco, CA
Pay: $100,000 to $150,000 annually
Experience: 7+ years’ law firm office management experience; management in a professional services environment may be considered.
Education: High School Diploma or GED required; Bachelor’s degree in a related field preferred.
Type: Full-time; Direct Hire
Schedule: Monday – Friday, 9:00am to 5:30pm

Job Description:
- Hire, train, manage, develop, evaluate, and performance manage reception, secretarial assistance, administrative assistance, office services, and hospitality staff.
- Oversee outsource vendor relationship, ensuring contracted services meet firm expectations and contracts.
- Optimize planning and utilization of office resources to efficiently and effectively meet office needs.
- Monitor attendance, hybrid schedules, vacations, and other absences and approve timecards. Identify/document performance issues and provide feedback.
- Coordinate legal support assignments and ensure adequate support coverage for the office.
- Assess training needs and work with appropriate subject matter experts to develop learning opportunities.
- Conduct regularly scheduled team meetings to discuss firm updates and to field questions from the employees relative to concerns, events, and other office-related issues.
- Plan/arrange office maintenance needs/supplies, proactively and economically.
- Manage vendor relationships.
- Arrange, schedule, attend, participate in, and facilitates all in-office meetings, conferences, and events.
- Manage/address building issues (security/safety and training in emergency procedures).
- Act as liaison between firm and landlord regarding any facilities projects, maintenance requests, or issues.
- Ensure office is maintained in good condition, and that all internal/external services supporting the office are functioning effectively including appearance/functionality of the lobby, conference rooms, occupied and unoccupied offices, break rooms and other common areas.
- Coordinate office moves and work with management to identify required purchases for furniture and other related items.
- Collaborate with Governance to ensure proper disposition of client files from creation to final storage; overseeing client file acceptance and release per attorney onboarding/departure policies.
- Provide updates for office business continuity disaster recovery plan and ensure emergency notification system contact information is current.
- Coordinate with Information Technology department to identify IT needs and ensure attorneys/staff have access to IT hardware and software tools.
- Communicate/consistently reinforce all Firm policies and procedures.
- Prepare/monitor annual budget.
- Review/approve office invoices and expenses.
- Act as firm advisor regarding space planning/office design and consider lease options, possible relocations and major renovations.
- Provide oversight to renovations, construction projects and relocations for a Class A rated office building.
- Act as project manager for office-related/construction projects and primary contact for sublease tenant, including managing the lease, resolving issues and acting as a conduit between the firm/building and subtenants.
Position Requirements:
- Significant experience in a law firm preferred.
- Strong MS Office skills (Excel, Word, Outlook, PowerPoint).
- Will proactively review processes and resolve issues to maintain superior customer service.
- Ability to effectively manage office support team members to create a cohesive response to firm and client needs.
- Ability to effectively handle confidential or sensitive information.
- Strong verbal and written communication skills and the ability to develop partnerships with all levels of the organization, external groups, and vendors; ability to influence as a trusted advisor.
- Must be able to organize/prioritize multiple assignments, using judgment to accomplish results and produce accurate work while meeting required deadlines.
- Ability to create and manage operational budgets/projects and analyze data to plan, organize and coordinate a wide range of issues and track projects, assignments, and reports.
- Will maintain a high level of professionalism and composure in all circumstances.
