Job Description
Position: Office Services Coordinator
Location: Menlo Park, CA (Onsite)
Pay: $58,000 to $65,000 annually
Experience: 3+ year’s experience working in a law firm or professional services setting to provide office support to fulfill facilities and administrative needs.
Type: Full-time; Direct Hire
Schedule: Monday – Friday, 9:00am to 5:30pm
Kent Daniels & Associates is seeking an Office Services Coordinator to join our dynamic law firm client!
Job Description:
- Ensuring the overall onsite experience to accept and coordinate facilities requests and serving as point of contact for attorneys, support staff, clients, and visitors; and address inquiries/provide information.
- Duties include managing duplicating, mail, and scanning needs.
- Assisting with records maintenance, reception functions, and invoice processing/data entry.
- Supporting security badge needs and coordinating each guest/visitor through the process.
- Ensuring the office environment is clean, organized, and presentable.
- Reserving conference rooms and visitor offices.
- Ordering/setting up catering and beverage requests.
- Managing kitchen and common areas including maintaining office supplies, snacks/refreshments and confirm delivery details.
- Support Facility needs, including set-ups; break-downs.
- Office vendor management.
Position Requirements:
- Must be proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook), possess strong computer skills and be able to use firm conference room reservation system (Calendar, Mail, and Time Entry system).
- Good oral and written communication skills, being detail/deadline oriented, with the ability to work in a team environment to organize and prioritize work to balance multiple projects is essential.
- Must be comfortable with repetitive tasks and maintaining consistent focus and be able to handle sensitive and confidential materials.
