Location: Downtown Los Angeles, CA (Onsite)

Pay: $49,000 to $51,000 annually 

Experience: 1+ years of law firm support experience to support copy/print production, mailroom operations, records management, and administrative supply management.

Type: Full-time; Direct Hire

Schedule: Day Shift, 11:00am to 7:00pm

Kent Daniels & Associates is seeking an Office Services Specialist to join our dynamic law firm client!   

Job Description:
  • Streamline job request processes to manage workflows, prioritize tasks, and ensure timely completion while maintaining proactive client communication.
  • Execute comprehensive document finishing services (printing, collating, binding). Operate bindery equipment.
  • Inspect printed materials for accuracy, completeness, and quality, making corrections.
  • Provided ongoing maintenance/support for office/production technology (printers, copiers, scanners, binding machines).
  • Administer inventory control by monitoring supply levels and placing orders.
  • Assist with mailroom services, deliveries, and pick-ups; Inspect all shipments for accuracy and integrity, ensuring proper labeling and documentation; Adhere to all relevant shipping and mailing guidelines.
  • Prepare and organize official documents for record retention, ensuring accurate system entry in compliance with established procedures.
  • Oversee storage and retrieval/disposal of records, coordinating effectively with staff.
  • Document equipment and supply logistics, maintaining accurate records of requests, orders, and consumption.
  • Manage inventory control, monitor stock and procure supplies, process office supply returns, and obtain credits from vendors.
  • Maintain accurate records of billing data, meter readings, and production activity.
  • Monitor/reclaim GL transactions placed on hold to ensure proper billing against valid client matters.
  • Review and submit approvals for printer supply requests across offices.
  • Review monthly credit card statements to confirm application of credits.
  • Submit check requests for Costco pantry supplies and Pitney Bowes postage refills.
  • Support special projects.

Position Requirements:  
  • Proficiency in using MS Office (Word, Excel, Outlook) is required. 
  • Must have excellent communication skills and the ability to multitask with close attention to detail and organizational skills.
