Position: Practice Assistant/Litigation Secretary
Location: Century City, CA (hybrid, 3 days onsite T, W, THURS with occasional on-site responsibilities)
Pay: $65,000 to $105,000/yr (depending on experience)
Experience: 3+ years’ experience to support an assigned group of litigation attorneys and paralegals
Education: High school diploma required, associate degree preferred
Type: Full-time; Direct Hire
Schedule: Monday – Friday, 8:30am to 5pm (flexibility for overtime and out-of-town travel required)
Kent Daniels & Associates is seeking a Practice Assistant/Litigation Secretary to join our dynamic law firm client!
Job Description:
- Creating, revising and formatting legal documents, spreadsheets and presentations using Office 2016, Adobe and DMS; document comparison, transcription and proofreading
- Preparation and filing of court documents electronically (eFiling) in compliance with state and federal rules and the ability to navigate Westlaw and working with claim charts
- Administrative duties include managing busy calendars, coordinating meetings and travel arrangements; interfacing with clients, Firm committees and departments; new business intake; answering phones, entering attorney time, and managing expense reimbursements
- Uses word processing and document management software Microsoft Office (PowerPoint, Excel), Workshare Compare, Adobe, DMS to prepare, revise, format, and finalize a wide variety of documents, including correspondence, memoranda, and legal materials
- In conjunction with the preparation of such documents, the Practice Assistant is responsible for proofreading, correctly formatting, and questioning any inconsistencies in all materials
- Transcribes dictation, minutes of meetings, or taped records of conferences and meetings
- Processes conflict checks and New Client/New Matter forms (KENI); enters attorney time (Carpe Diem); processes expense reports (Chrome River); receives, places, and screens telephone calls; schedules conference calls; coordinates and schedules travel arrangements through web-based application; calendar management (Outlook Calendars)
- Conducts internet research as directed by attorneys
- Interacts on a daily basis with departments within the Firm to facilitate highest possible legal support to assignments and clients, including Accounting (check requests)
- General Services (mail, FedEx, UPS, messengers)
- Conference Center (scheduling/arranging meetings and logistics)Calendar Court Services; Reprographics Department; Digital Services, etc.
- Establishes and maintains paper and electronic files in compliance with current Firm policies utilizing the LegalKEY system and Document Management System
Position Requirements:
- Advanced proficiency in MS Word and formatting documents
- Minimum typing speed of 55+ words per minute required
- Adobe, PowerPoint, and Excel experience are also strongly preferred
- Exposure to deposition and hearing prep preferred
