Position: Senior Billing & Collections Specialist
Location: Century City, CA (Hybrid, 2-3 days onsite)
Pay: $105,000 to $120,000 annually
Experience: 5+ years' senior-level legal billing experience in a mid to large law firm to serve as the liaison between assigned attorneys and the Accounting Department and to lead and guide eBilling team.
Education: A college degree in Business, Accounting, Finance, or related field is preferred.
Type: Full-time; Direct Hire
Schedule: Monday – Friday, 9:00am to 5:30pm
Kent Daniels & Associates is seeking a Senior Billing & Collections Specialist to join our dynamic law firm client!
Job Description:
- Obtain a full understanding of billing and eBilling matters and identify and resolve complex billing discrepancies.
- Handle client account reconciliation experience on the back end of eBilling and to assist billers with heavy eBilling compliance.
- Correct portal issues and lead new billing set-ups with the portal representatives, client engagement and new billing guidelines, and related troubleshooting.
- Monitor timely completion of suggested revisions and finalization of invoices.
- Analyze invoices to ensure compliance with Firm policies, engagement letters and client guidelines.
- Generate WIP, A/R, and Retainer reports and track assigned attorney in inventories.
- Complete ad hoc billing requests as requested by attorneys and assistants.
- Research aging WIP and A/R balances and provide attorneys with thoughtful analysis regarding best course of action for balances.
- Facilitate preparation and submission of budgets for specified matters and provide variance analysis to attorneys.
- Responsible for preparing LEDES file to be sent to the client reviewing the file to maintain accuracy and compliance with eBilling guidelines, and follow-up with client and partners/assistants.
- Ensure timely and helpful communications are sent to appropriate parties where data needed to resolve issues is fully identified and communicated efficiently.
- Proactively monitor eBilling progress including status reporting in systems, WIP, matter and timekeeper set-ups, and key process aspects.
- Ensure that all eBilling issues, including deductions, are monitored and resolved in a timely manner and provide submission assistance.
- Work with CFO and CMO on alternative fee arrangements related to client RFPs.
- Work with Manager to streamline work and develop reporting with outside Consultant.
- Work with Manager to assess new software products; participate in implementation, testing and training.
- Manage the collection process for assigned attorney clients including preparation of inventory emails, regular review of outstanding A/R, consistent follow up with responsible partners or assistants, understanding/documenting partner preferences and methods, consistently updating firm databases with client/partner responses, monitoring eBilling systems/reporting.
Position Requirements:
- Experience with Aderant or Expert Billing, paperless billing and BillBlast is strongly preferred.
- Must have the ability to effectively communicate with all levels of personnel, have excellent attention to detail and the ability to work well under pressure.
- Strong technology skills, including knowledge of Microsoft Office (emphasis on Excel), are a must.
- Position requires outstanding written and verbal communication abilities, excellent organizational skills, and the ability to strategize, multi-task, and prioritize.
- Exemplary customer service mindset and be highly motivated. Possess an ownership mentality, a commitment to proactive communication, and exceptional follow-through skills are absolutely essential for success in this position.
