Job Description
Position: Transactional & Infrastructure Legal Secretary
Location: Washington, DC (Hybrid, 2 days onsite)
Pay: $74,000 to $99,000 annually
Experience: 5+ years’ experience supporting transactional attorneys to assist the Infrastructure practice group and transactional teams.
Education: High school diploma or equivalent is required, and bachelor’s degree is preferred.
Type: Full-time; Direct HireÂ
Schedule: Monday – Friday, 9:00am to 5:30pm (Occasional OT may be needed)
Kent Daniels & Associates is seeking a Transactional & Infrastructure Legal Secretary to join our dynamic law firm client! Â
Job Description:Â
- Creating, editing, revising, redlining, and proofreading documents from handwritten, typed, and electronic copies.
- Prepare and distribute communications (letters, memos, emails, reports).
- Create new client/matter intake forms and engagement letters, liaising with the Conflicts team, General Counsel, and Finance Committee.
- Process and monitor expense reports/reimbursements, vendor bills and check requests, delegating to Legal Administrative Support.
- Assist attorneys with time entry/prebills while coordinating with the billing team.
- Assist with managing the calendars coordinating meetings, making travel arrangements, and arranging additional support with catering, technology, and office services.
- Liaise with other support teams to coordinate/track projects delegated to Word Processing, Legal Administrative Support, and Office Services teams.
- Promote and champion efficient work practices with attorneys, including electronic prebills, mobile time entry, and new technologies.
- Maintain administrative and client files.
- Support other legal support services department projects and initiatives, including providing back-up support to other legal secretaries firmwide.
Position Requirements:
- Advanced knowledge of MS Office (Word, Excel, PowerPoint, Outlook) and various legal software applications (iManage, Litera ChangePro, and ChromeRiver).
- Experience with timekeeping/billing software (Aderant preferred).
- Strong working knowledge of legal terminology and excellent time management skills with the ability to multi-task, prioritize work, and communicate workload challenges to attorneys and administrative managers.
- Superior communication and engagement skills, including the ability to interact credibly and diplomatically with clients and individuals at all levels.
- Exceptional organizational, grammar, spelling, and proofreading skills to support heavy administrative responsibilities.
